Why it is worth having email @yourcompany.com instead of @gmail.com

You already have a domain and a site, but you send customers emails from company.smith@gmail.com or renovation.services1985@wp.pl? It works, but it sends the customer a signal you probably do not want to send. Business email on your own domain (that is, name@yourcompany.com) is one of the cheaper things that genuinely raise a professional image. And it is not just about looks.

First impression: professionalism

Compare for yourself: contact@smith-lawfirm.com versus smith.lawfirm.2019@gmail.com. The first says "a serious, orderly company". The second, "someone set up an account in a hurry". For a customer who does not know you yet, such a detail builds (or undermines) trust before they even read the content. An address on the company's domain shows you take your business seriously.

Consistency and credibility

Email on your own domain ties everything together: the site yourcompany.com, the email contact@yourcompany.com, the same brand everywhere. The customer sees a consistent picture. In addition, an address on the domain is more credible, it is harder to impersonate a company that has its own email configured correctly (thanks in part to the SPF, DKIM and DMARC mechanisms we wrote about separately).

Control and independence

This is an important, often overlooked argument. An account on someone else's platform (Gmail, WP, Onet) belongs to the provider, you are just a user. Email on your own domain gives you control:

  • you create whatever addresses you want: contact@, office@, john@, invoices@, and make new ones for employees,
  • changing email provider does not mean changing addresses: because the addresses are attached to your domain, not to a specific company,
  • an employee leaves? the address stays with the company, and you decide what to do with it.

By building your company's communication on your own domain, you build on your own ground, not on rented land.

Your own domain lets you easily create addresses matched to functions: contact@ for general enquiries, office@ for administrative matters, service@ for support. It looks professional and, at the same time, organises communication and lets you split it among people in the company without giving out private addresses.

It is simpler than you think

Business email is usually set up on the same hosting the site runs on, or through a specialised email service. Configuration is a matter of a few records and settings, and the effect stays with the company for years. The only key thing is to do it correctly: with good protection against impersonation and so that emails arrive rather than land in spam.
